Position Summary: The Sr. Administrative Assistant will work closely with the department chair to ensure the effective and efficient operation of a complex department consisting of art and design studios and academic practices. Responsibilities include managing the budget, procurement activities, and assisting with the development of the academic composite for the department, which consists of 6 distinct degree programs (Art Education, Art History, Fine Arts Studio, Photography, Graphic Design and Visual Arts). The department has 18 full time faculty members, 15 adjunct faculty, four staff members, and 280 majors/minors.
Minimum Qualifications:

High school diploma or equivalent.
3 years of full-time administrative support experience in a professional office environment.
Excellent written communication skills.
Demonstrated ability to protect and maintain confidentiality of information.
Demonstrated ability to plan and organize work in observance of deadlines.
Demonstrated ability to work effectively as a cooperative member of a professional office.
Significant experience managing and reconciling budgets and analyzing financial data and reporting results to the supervisor
Demonstrated proficiency with Microsoft Office software (especially Excel and Word) as used for preparing forms and maintaining correspondence, University reports, and special projects.
Experience using Gmail and Google Suite and other cloud drive storage and Google workflow.
Ability to plan and coordinate events
Demonstrated or articulated ability to manage multiple priorities.
Demonstrated ability to work independently with little to no supervision.
Demonstrated ability to work within established procedures and guidelines.
Demonstrated ability to learn and apply new information and systems.

Preferred Qualifications:

Associates’ degree
Demonstrated ability to engage effectively, respectfully, and professionally with multiple constituents at all levels in an organization, such as faculty members, staff, administration, students, parents, advisory council members, and university guests.
Experience recommending and implementing new systems for office workflow.

Experience with an electronic procurement system for purchase orders and payment requests.
Ability to work effectively as a cooperative member of a professional office.
Experience working in a college or university academic office.
Experience supervising others in a professional environment.
Successful experience creating and maintaining and analyzing detailed records and data sheets to schedule events and maintain faculty and student records.
Effective interpersonal skills.
Excellent oral communication skills.
Proficiency with Banner and Cognos IT systems or similar software.
Demonstrated successful experience with making travel reservations (flights, hotel, car rentals); and hospitality/catering arrangements.
Experience with processes for hiring and on-boarding of new personnel
Successful experience planning and organizing work in observance of deadlines.
Familiarity with University of Dayton academic structures, procedures, and policies.
Knowledge of and sensitivity to the Catholic and Marianist educational values of the University of Dayton.
