The University of Dayton is seeking a dynamic individual to contribute positively and professionally in managing the Graduate and Professional Education Office and to proactively enhance faculty employment protocols, ensure the accuracy and timely reporting of faculty data, support successful faculty onboarding at the University, and ensure clarity, professionalism, and efficiency with UD’s faculty employment activities.. Reporting to the Vice Provost for Faculty, Graduate and Professional Education the Administrative Coordinator, Faculty and Graduate Academic Affairs (AC) provides primary administrative and office coordinating support to the Vice Provost. The AC is expected to work proactively to support the operational needs of the Vice Provost’s reporting areas of Faculty Administrative Affairs (FAA) and Graduate Academic Affairs (GAA). Among the AC’s key responsibilities is to enhance faculty employment protocols and ensure the accuracy and timely reporting of faculty data. As an essential duty, the AC will also support the Director of Faculty Processes and Hiring to ensure clarity, professionalism, and efficiency with UD’s faculty employment activities. The AC will also support the Vice Provost in scheduling and coordinating programs and committee meetings associated with the Vice Provost’s FAA and GAA charges, and provide basic office management support for GAA.

Minimum Qualifications: |
- Bachelor’s degree with at least 2 years experience in office administration or human resources or in lieu of degree 5 years experience in higher education administration - Ability to build positive relationships with internal and external stakeholders - Articulated ability to prioritize, coordinate, and accurately complete multiple detailed projects and deadlines in a dynamic environment. - Excellent writing communication skills. - Effective oral communication skills - Proficient organizational, analytical, and proofreading skills, especially for data collection, interpretation and reporting. - Articulated ability to use independent judgment and problem-solving skills for decision-making. - Experience handling sensitive issues and maintaining confidentiality. - Articulated ability to take direction and then work independently to accomplish tasks. - Articulated commitment to the Marianist tradition to support the principles of inclusive excellence in the ongoing support of a community of students, faculty, and staff who are prepared to learn, lead and serve. - Proficient in Microsoft Office suite (esp. Excel, Word, PP), Google systems, video conferencing. - Competency using relevant office equipment (e.g., multi-line telephone system with voicemail, fax machine, photocopier.

Preferred Qualifications: |
While not everyone may possess all of the preferred qualifications, the ideal candidate will bring many of the following:
- 3 plus years administrative work experience within a Dean’s, Provost’s, or similar higher educational office. - Successful experience implementing process improvements and collaborating across an organization to align practices to achieve greater efficiency and effectiveness - Familiarity with Banner (student information system). - Proficiency with electronic applicant tracking systems, reporting systems, LMS systems (e.g., Canvas), and student information systems (e.g., Banner). - Experience using LLM (generative AI) assistance for document generation and other tasks.
