The departmental administrative assistant manages all of the day-to-day operations of the Chemical and Materials Engineering department. This person directs all requests of the department by being the first point of contact for the chair, faculty, and students. Additionally, any external visitors who make contact, either in person, by phone, or by email, are screened by the administrative assistant who must direct these individual requests. This person is responsible for working closely with the department chair and supporting and/or coordinating course and room scheduling, employment processing, purchasing, maintaining supplies, and budget tracking. The successful candidate is also responsible for posting Jobs and hiring student employees, submitting all graduate assistant contracts, and processing faculty and staff personnel/payroll forms. This person also hires, supervises a student office assistant, and directs/answers all questions that come in from students.

Minimum Qualifications:

• Associate’s degree
• Three or more years of full-time administrative support experience in a professional office setting
• Experience using Microsoft Word in a professional setting to prepare documents, reports, and correspondence
• Experience using Microsoft Excel in a professional setting to create and maintain spreadsheets to track expenses, projects, and other data
• Articulated ability to manage multiple priorities simultaneously
• Experience following established procedures and processes
• Excellent written communication skills
• The ability to interact effectively with multiple constituents
• Ability to take initiative
• Willingness to learn new software and technology that align with workplace performance expectations

Preferred Qualifications:

While not everyone may possess all of the preferred qualifications, the ideal candidate will bring many of the following:

• Bachelor’s degree
• Working experience with Microsoft Office Suite 365, Including Excel, and PowerPoint
• Working knowledge of Banner and Cognos IT systems
• Experience working in a college or university academic office
• Demonstrated ability to engage effectively and professionally with multiple constituents, including faculty, staff, students, parents, and university guests
• Successful experience protecting and maintaining confidentiality of Information
• Successful experience planning and organizing work in observance of deadlines
• Experience with an electronic procurement system for purchase orders and payment requests
• Excellent interpersonal skills
• Demonstrated excellent verbal and written communication skills
• Experience with Gmail and google-calendaring
• Experience with Google Drive and/or Box documents
• Knowledge of and sensitivity to Catholic and Marianist values of the University of Dayton
